Privacy Policy

1. Who we are

Total Talent Source ("we," "us," or "our") operates this website, including The Advisor and its diagnostic report. If you have a question about this policy or your personal information, contact us at david@totaltalentsource.com.

2. What information we collect

When you use The Advisor to request a diagnostic report, we collect the information you choose to submit:

• Your selected business or executive-career path
• Your goal, timing, recent example, and implementation context
• Your company or professional website and the operating, career, ownership, impact, measurement, and readiness evidence you provide
• Any optional PDF or Word source document you choose to upload for analysis
• Full name, role or title, email address, and mobile number
• Your optional, separate choice about receiving marketing email

When you request an ROI Calculator estimate, we collect your full name, company, business email, mobile number, the type of process you choose, and the business figures you enter, including spending, team time, possible missed deals, inquiry and conversion counts, follow-up practices, current systems, and figures you mark as not tracked. We save the estimate context with your CRM contact so we can provide the requested report and follow up about your business needs. Submitting the calculator does not enroll you in marketing email.

When you use our other forms, book a session, buy a product, or prepare for a session, we collect what you enter there. Our servers also record technical information such as your IP address, browser type, and the pages you request, to operate and secure the site. Section 6 describes site analytics and session recordings. Do not enter passwords, financial account numbers, health information, or other sensitive personal information into The Advisor or the ROI Calculator.

3. How we use it

We use your information to respond in The Advisor, prepare and email the diagnostic report you request, keep a customer relationship management (CRM) record, follow up with you personally about your request by email or phone, deliver purchases and sessions, send service messages about them, keep the site secure, and understand which pages and channels bring inquiries. The requested report is a service message. Marketing email is optional and is sent only if you select the separate marketing checkbox; you can unsubscribe at any time. The Advisor does not make decisions that have legal or similarly significant effects on you.

4. The Advisor and AI

The Advisor is an automated digital assistant, not a person. It says so at the start of every conversation. Your answers and contact details are stored so we can prepare the requested report, keep the evidence behind the finding, and follow up. A short CRM note is stored separately from the conversation transcript.

To answer you and prepare your report, we send the relevant parts of your conversation, answers, and any uploaded document to AI service providers: OpenRouter, which routes requests to AI model providers, currently Anthropic. For business reports, a website-reading service (Firecrawl) may retrieve your public company website. Reports are prepared with AI assistance from what you submit, are informational, and are not legal, financial, tax, or employment advice.

Authenticated administrators can also use an internal CRM assistant. It uses OpenRouter with Google Gemini and receives the administrator's request plus a minimized CRM summary. That automatic summary excludes recent contact names, email addresses, and companies. We send OpenRouter a request setting that allows only model providers that do not collect the request data; if that privacy requirement cannot be met, the assistant request fails instead of using another provider.

5. Providers and other companies

These providers handle information to run the site and our services:

• Railway: application hosting, database, and server logs
• Cloudflare R2: storage for documents you upload and products you buy
• Resend: email delivery
• OpenRouter and the AI model providers it routes to, currently Anthropic for The Advisor and Google Gemini for the internal CRM assistant: AI processing described in Section 4
• Firecrawl: reading public company websites for business reports
• Google Workspace: our business email and calendar, including copies of reports and messages we send you
• Umami: site analytics, as described in Section 6

These companies collect information directly, under their own privacy policies:

• CAM partner training: if you enter your email on our training page, Total Talent Source saves a copy in its CRM to track the referral. The page also sends your email directly to Simple Tech Skills Corp (Doctor AI) and Kit for the training and their follow-up. Doctor AI controls the training and its thank-you page. Review Doctor AI's privacy policy before submitting. We may earn a commission if you purchase through our partner links.
• Microsoft Clarity: session recordings and heatmaps, as described in Section 6 (Microsoft Privacy Statement)
• Stripe: payment processing when you buy a product. Stripe also uses payment information for fraud prevention and to operate its services (stripe.com/privacy)
• TidyCal: appointment booking and paid session seats. Our booking links send you to TidyCal (tidycal.com), which collects what you enter there
• Google booking calendars: some service pages can show a Google booking calendar. It loads only if you choose to show it, and Google handles what you enter there

After a CAM training signup, Doctor AI's thank-you page opens the training video. Its web address currently includes the email you entered to prefill the booking step. That address can be saved in browser history or server logs and may be received by analytics services on Doctor AI's page. Total Talent Source does not control that page. Avoid forwarding the full thank-you link to others.

6. Analytics and session recordings

We measure how visitors use this site so we can see which pages, search engines, and AI assistants bring people here and where the site is hard to use.

• Umami counts page visits and actions such as button clicks, with the referring website, browser and device type, and general location such as country. Umami does not use advertising cookies, and we do not collect the query portion of web addresses with it.
• Microsoft Clarity records how you interact with pages: clicks, taps, scrolling, mouse movement, the pages you visit, and each page as it appears on your screen, and it combines visits into heatmaps. Clarity hides what you type into form fields, and we also hide The Advisor conversation and your contact details from recordings. When measurement is allowed, Clarity sets cookies to recognize your browser across pages and visits, and it may set Microsoft cookies that recognize the same browser on other websites that use Microsoft services. Microsoft collects this information directly and controls its own use of it under the Microsoft Privacy Statement; Clarity's terms describe Microsoft's use of it for Clarity and Microsoft Advertising. We configure Clarity with advertising storage denied, which Microsoft's documentation says stops Clarity from sharing data with Microsoft Ads, and we do not use Clarity data to advertise to you.
• Google “Add as a preferred source” button. Under the same choice, the footer loads a button from news.google.com that lets you mark this site as a preferred source in Google Search. When it loads, Google receives your IP address and browser details and may use its own cookies, under the Google Privacy Policy. It does not load after you opt out or when Global Privacy Control is on.

When measurement starts. The first time you visit, a notice explains this measurement, and nothing is measured on that page unless you choose OK. If you continue to another page without opting out, measurement starts, and we also count the page where you arrived and the website that sent you there. The notice stays on screen until you choose OK or Opt out.

Where it never runs. Measurement does not run on administrator pages or on pages opened from a private link, such as unsubscribe and purchase-access pages. Clarity also does not run on the session preparation page.

Your choices. Choose Opt out in the notice, or open Cookie Preferences in the footer at any time. After you opt out, measurement does not run on later pages; if it was already running on the page you are viewing, we tell Clarity to stop storing data, remove the Clarity cookies this site is able to remove, and reload the page so recording stops. Microsoft's own cookies on its domains can only be removed in your browser settings. If your browser sends a Global Privacy Control signal, measurement never runs for you, and nothing on this site overrides that signal. This site does not respond separately to browser "Do Not Track" signals. Your choice is stored in your browser, so it applies to that browser only.

7. How you found us

When measurement is allowed under Section 6, your browser keeps a small record of how you first arrived: the website that referred you (for example a search engine or an AI assistant such as ChatGPT), the page you landed on, and any campaign tags in the link. Until you choose OK or continue to another page, those arrival details stay only in that browser tab. The record stays in your browser for up to 90 days and is sent to us only if you later submit a form or a message to The Advisor, when it is attached to your inquiry. The contact form also asks, optionally, how you found us. We use this only to understand which channels bring inquiries, never for advertising, and it is deleted along with the rest of your record. Opting out, or a Global Privacy Control signal, deletes the browser record and stops it from being created.

8. Search engines and AI assistants

We publish a sitemap and descriptive page information so search engines and AI assistants can find and describe our public pages. We count, by day, which search and AI crawlers request our pages; that count does not include information about visitors. We also review aggregated search reports that search engines provide to site owners.

9. Email

Some emails are part of a service you requested, such as your report, the delivery of something you bought, and messages about a session you booked. Marketing email is separate and optional. Every marketing email includes an unsubscribe link and our postal address, and we honor unsubscribes promptly. If you unsubscribe, service emails about something you requested or bought continue.

10. Cookies and device storage

An essential session cookie keeps forms secure and keeps your Advisor conversation, question progress, and completion record connected during a visit. It is necessary for those functions and is not used for advertising. During a visit, that cookie also holds your recent Advisor messages and the contact details you enter, on your device. Your browser also stores your measurement choice, theme, and any display or language preferences you set, which stay on your device. Microsoft Clarity's cookies are described in Section 6.

11. Data retention

We keep personal information for as long as needed to provide what you asked for, follow up with you, keep business records, resolve disputes, and meet legal obligations, and then delete or de-identify it. Conversations with The Advisor are stored as transcripts under the same approach. You can ask us to delete your information at any time.

12. Your privacy rights

We extend these rights to all visitors, wherever you live:

• Know what personal information we have collected about you and request access to it
• Request correction of inaccurate personal information
• Request deletion of your personal information
• Opt out of marketing communications at any time
• Opt out of site analytics and session recordings (Section 6)
• Not be treated differently for exercising any of these rights

To make a request, email david@totaltalentsource.com. We respond generally within 30 days and may need to confirm your identity first. When we delete your information, we keep transaction records in a form that no longer identifies you, and we keep your email address on a do-not-email list so we do not contact you again.

13. Do Not Sell or Share My Personal Information

We do not share personal information for cross-context behavioral advertising, and we configure Clarity so it does not share data with Microsoft Ads. Microsoft independently controls the Clarity data it collects. To the extent California law treats that as a sale or sharing of personal information, you can opt out at any time: choose Opt out in the site notice or in Cookie Preferences, or turn on Global Privacy Control in your browser, and Clarity will not run for you. We do not sell or share personal information in any other way.

If the California Consumer Privacy Act applies to us, California residents have the rights it provides, and we treat a Global Privacy Control signal as a request to opt out of sale and sharing. The Do Not Track statement in Section 6 and the statement there about Microsoft cookies on other websites are among the disclosures the California Online Privacy Protection Act (CalOPPA) asks website operators to make.

14. Where information is processed

Our providers process information in the United States and may process it in other countries.

15. Children's privacy

This site is intended for working professionals and is not directed to anyone under 18. We do not knowingly collect personal information from anyone under 18.

16. Data security and breach notification

We use reasonable technical and organizational measures to protect your information. If we become aware of a security incident affecting your personal information, we will notify affected individuals and relevant authorities as required by applicable law.

17. Translations

This site offers machine translation for convenience. This policy is shown in English, and if a translated page differs from the English version, the English version applies.

18. Changes to this policy

When we change this policy, we update the date above. If a change materially affects how we use information we already hold, we will tell you by email or on this site before it takes effect.
